Training Support Specialist

Education:

• High school diploma

• Associate’s degree or equivalent experience

Licenses or Certifications:

• Valid U.S. Driver’s License

Job Summary:

Perform administrative duties related to the Initial Qualification Training (IQT) program at Beale AFB CA including student in processing, out processing and lodging, IQT training material review and development and, training course evaluation and feedback processing.

Essential Duties and Responsibilities:

• Assist the Training Support Manager in support of the 7 SWS IQT team.

• Interfaces with new IQT students to obtain, utilize and protect their Privacy Act information, such as, full name, date of birth, social security number, losing unit, gaining unit, cell phone number, and NIPRNet E-mail no later than one business day of initial contact.

• Provides new students with a point of contact prior to their arrival and provides base, site and class specific information pertaining to IQT.

• Registers students in Oracle Training Administration (OTA).

• Prepares student fund cite letters and coordinates with the Delta 4 Resource Advisor (RA) and on-site RA.

• Coordinates with the on-site lodging office to reserve rooms for future class dates and to edit existing reservations.

• Provides updates to the number of students requiring reservations.

• Provides a IQT Welcome Letter to the student.

• Develops Class Recall Rosters.

• Updates, maintains, and catalogues AF Form 4419s for each student upon completion of their course to augment instructor feedback.

• Works with the lead IQT instructor to include instructor notes/student evaluations and weakness areas.

• Attends student feedback sessions with the lead IQT instructor to update, maintain, and catalogue course feedback. End-of-course feedback sessions are always done.

• Maintains a digitized catalogue of student performance.

• Coordinates student placement in classes based on forecasted instructor outages and projected student enrollment.

• Assists in the drafting, updating, maintaining, standardizing, and cataloguing training guidance, such as, but not limited to, the Annual Training Plan (ATP), Initial Plan of Instructions (IPOIs), and received higher headquarters guidance pertaining to training programs.

• Assists in the drafting, updating, maintaining, standardizing, and cataloguing training aids and products to meet training guidance requirements. Training aids and products include but are not limited to lesson plans, lesson slides, simulator aides/materials.

• Updates and maintains recurrent dialogue with training representatives of each Upgraded Early Warning Radar (UEWR) on operational performance and recording any gaps between baseline IQT and follow-on site-specific certification training and operations.

• Updates and maintains a feedback repository.

• Performs general housekeeping.

• Completes ancillary training.

• Other duties as assigned.

Required Skills/Experience:

• Excellent communication skills both written and verbal.

• Two years of administrative experience in training management and development and, handling and safeguarding Privacy Act Information and Personally Identifiable Information.

Supervision:

• Works under the general supervision of the Training Support Manager.

Work Environment:

• Expected to be able to lift 50-pound loads with assistance on occasion in a normal working office environment and may work extended hours on weekends and holidays.

• Normal office environment. May work extended hours or weekends. May travel overnight or on weekends.

Physical Demands:

• Walking, siting, typing, bending and lifting items as required within position requirements

Clearance Requirements:

  • Currently hold or be able to obtain and maintain the proper US DoD issued security clearance, which requires US Citizenship. Security clearance eligibility may be discussed during the interview phase.
  • Employment and start date is contingent upon the candidate receiving the required US DoD issued interim security clearance.
